EXECUTIVE ASSISTANT

Job Description Job Description Trinity Metro has an immediate opening for an Executive Assistant to provide professional and administrative support to two VP’s of Trinity Metro and associated departments.

This position's responsibilities include:

Provides comprehensive support services to two members of the Executive Leadership team that ensures a professional, responsive and effective experience with the agency as a whole.

Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.

Completes a broad variety of administrative tasks including: completing expense reports; composing and preparing correspondence, that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Manages phone calls, and prioritizes phone messages, emails and mail. Handles all phone calls and visitors with grace and professionalism.

Approves expense reports and requisitions entered in the ERP system.

Researches, prioritizes and follows up on incoming issues and concerns addressed to the VP, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the VP's office and other internal departments; demonstrating leadership to maintain credibility, trust and support with executive team and senior management staff.

Works closely and effectively with the VP’s to keep him/her well informed of upcoming commitments and responsibilities by following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the VP’s updated.

Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the VP, some of which may have organizational impact.

Prioritizes conflicting needs; handles matters expeditiously, and proactively and follows-through on projects to successful completion, often with deadline pressures.

Works closely and effectively with the Staff Director to keep him/her well informed of upcoming commitments and responsibilities of VP as related to President and CEO.

Coordinates and performs special projects, as required.

Maintains confidential information.

Maintains regular and punctual attendance.

Makes recommendations to management to improve operations, decrease inefficiencies and streamline work processes; work cooperatively with all customers, internal and external.

Participates in company community activities to promote transit on off duty hours.

Performs other duties, as assigned.

EDUCATION

Bachelor’s degree with course work in Business Administration.

EXPERIENCE

Ten or more years of professional experience as a C-Suite Executive Administrative Assistant.

Any combination of experience, training and/or education that provides the required knowledge, skills and abilities may substitute for the required education.
