This role is essential for the efficient operation of our Hoboken office, responsible for overseeing administrative tasks, maintaining financial records, and supporting the team. The ideal candidate will have a strong background in office management, exceptional organizational skills, and a keen eye for financial accuracy.

The Role:

This role doesn’t have a set curriculum. We know some of the things we need yet more importantly we are hiring an expert who will help us become more productive and effective using their skills and experience. You will play a role in defining your job responsibilities. However, these are the initial expectations we have in mind…

Office Management:

Be present in the office 8 hours daily

Oversee daily office operations to ensure efficiency and compliance with company policies.

Manage office supplies, equipment, and inventory levels.

Keep the office space clean and organized..

Handle incoming and outgoing correspondence, including mail and emails.

Maintain electronic and physical filing systems for easy retrieval of documents.

Coordinate with contractors and building management when needed.

Bookkeeping :

Maintain accurate financial records using accounting software (e.g., QuickBooks).

Reconcile bank statements

Prepare financial reports, including balance sheets, profit and loss statements, and cash flow statements.

HR and Administrative Support :

Serve as a point of contact for employees regarding office policies, procedures, and inquiries.

Support the team with administrative tasks, such as drafting correspondence, creating presentations, and data entry.

Organize company events, meetings, and conferences as needed.

Communication and Collaboration :

Liaise with vendors, clients, and suppliers to facilitate smooth business transactions.

Collaborate with various departments to ensure cross-functional communication and support.

Communicate effectively with team members to relay important information and updates.

Prompt is a remote friendly company. However, the majority of the executive leadership team sits in the Hoboken area and frequents our office space. We also have team members traveling in and visiting often. We are looking for someone local who is willing to come into the office 5 days a week.

Requirements:

Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.

Proven experience as an Office Manager, Bookkeeper, or similar role.

Proficiency in accounting software (e.g., QuickBooks), Excel,, and general office equipment.

Strong understanding of bookkeeping principles and practices.

Excellent organizational and multitasking abilities with keen attention to detail.

Ability to take initiative and use resources to get things done effectively and timely.

Exceptional communication and interpersonal skills.

Ability to work independently and as part of a team in a fast-paced environment.

Knowledge of HR processes and practices is a plus.
