Senior Convention Services Manager

Come and join our team at this 605-room convention center hotel in the heart of downtown Oklahoma City. Our luxury hotel is located next to the Paycom Center(OKC Thunder), the Oklahoma Convention Center and across the street from the 70-acre Scissortail Park.

The property includes an all-day dining outlet (Seltzer's Modern Diner), an entertainment sports bar (OKC Tap House), specialty restaurant (Bob's Steak & Chop House), coffee shop (Park Grounds) and a retail outlet (RareBird Gift Shop). Additionally, guests can enjoy a Mokara Spa, fitness center and a rooftop pool and bar (CatBird Seat) complete with a fire pit, outdoor lawn and cabanas. The hotel offers 76,000 square feet of meeting and event space inclusive of a 20,000 square foot ballroom, 10,000 square foot ballroom, and a 4,200 square foot outdoor pre-function space that overlooks the park.

Job Description

The Omni Oklahoma City Hotel is a true outdoor recreation, entertainment and culinary destination paying homage to the heritage and modern progress of the city. With 605 guest rooms and suites, the luxury hotel will showcase views of the 70-acre Scissortail Park and the downtown skyline with 75,000 square feet of meeting and event space, sports bar, specialty restaurant, coffee shop and a retail venue.

TheOmni Oklahoma City Hotel is seeking an experienced Convention Services Managerto join the team of this upscale hotel in the heart of Oklahoma City. This position is entrusted to discuss meeting room arrangements with planner and to communicate this information through respective hotel department heads via a conference/meeting resume.

Responsibilities

Catering & Convention Services to include but not limited to: food and beverage requirements, timing of events, audio-visual requirements, special attention to guests, room type allocation, rooming list, amenities, function room set up, group transportation, type of check in, check out to include satellite check in, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, group hospitality/office/registration desk requirements, business center requirements, key requirements, expected food and beverage outlet usage, entertainment, leisure activities, décor (to include floral) requirements.

Manage both rooms and food and beverage forecast from group turnover to ensure that the forecast is up to date and accurate.

Prepare for weekly group cut off meeting for all groups assigned for the 90 days out.

Prepare resumes for groups ten days prior to group arrival and review all details in weekly Staff Meeting.

Modify work schedule to on site for all conferences/events as service needs dictate.

Adhere to the Catering and Conference Services Department’s standard operating procedures.

Assist with the on boarding and training of convention managers and hourly associates within the Catering and Conference Service department.

Assist the DOCCS with forecasting and budgeting tasks as requested.

Work the DOCCS to establish and/or revise hotel LSOP’s to enhance the customer experience.

Help establish and maintain hotel’s marketplace position at the city’s most elite venue within social and corporate communities.

In the absence of the DOCCS stands in a the go to leader within the department to insure that all daily tasks and customer touchpoints are executed for the department.

Ensure all site inspections and client visits to the hotel are successful by planning carefully and communicating accurate details in advance to all departments.

Proactively achieve consistently high Medallia scores through establishing a good rapport with the client, preparation work having been done accurately and being visible during the conference to ensure the client’s expectations have been met.

Generate high revenue yielding business for all contracted rooms, function space, and catered events.

Responsible for the timely collection of all advance deposits as contracted.

Conduct pre- and post-conference meetings when it is agreeable with the client.

Ensure all current and future client accounts are serviced in accordance with hotel standards.

Communicate with banquet managers for all related banquet functions and communicate client requests to relevant departments.

Ensure banquet event orders are accurate and provide all relevant information to departments concerned ten days prior to event start time.

Adhere to selling policies as set forth by the Director of Sales and Marketing.

Remain available to hotel managers while on property.

Be aware of departmental revenue and up sell at every possible opportunity.

Participate in all regular and operational meetings as required.

During conference, will ensure all meeting arrangements discussed meet specifications.

After the conclusion of meeting, reviews final bill and comments with meeting planner.

Responsible for processing group commissions and rebates at the conclusion of the event.

Other duties as assigned by Director of Catering & Convention Services.

Qualifications

Flexible work hours to include weekend and holidays in order to meet the demands of a 24 hour operation

Excellent communication skills in all aspects: verbal, written and non-verbal

Must have a minimum of 18 months experience in catering sales, or conference services in a upscale hotel or resort property or event planning experience in another industry

Appropriate, professional appearance and presentation

Strong computer knowledge, with technical ability and/or aptitude to fully use Microsoft Word, Delphi, Excel, Outlook, and other management systems

Physical Requirements:

Move, bend, lift, carry, push, pull, and place objects weighing up to 40 pounds without assistance. Stand, walk or sit for an extended period or for an entire work shift. Requires repetitive motion, including utilizing telephone/computer for an extended period or for an entire shift.

Interior and exterior of Sales Office

Occasional exterior of hotel with exposure to weather conditions.

Tools & Equipment:

Desktop computer (Opera, Delphi.fdc, Salesforce, Meeting Broker, Oracle, Birchstreet, Kronos and Microsoft Office), printer, telephone, copier and scanner.
