Summary:

This position is responsible for providing support in five key areas of the Accreditation of Education Institutes (AEI) Program, which includes:

1. The support of the administration of the accreditation process by assisting in the collection of data, providing initial analysis of data, and creating the annual report to disseminate to AEI members.

2. The recruitment and retention of AEI members through marketing efforts and utilizing the ACS online communities and website.

3. The management of engagement opportunities for volunteers through the products and projects produced by AEI Committees.

4. The support, creation, and execution of the Annual ACS Surgical Summit.

5. Working closely with the ACS Foundation to secure grants and funding opportunities to support the overall AEI Program and its mission.

This exempt position will report to the Assistant Director, AEI Program in the Division of Education. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote. Starting annual salary = $68,000 to $73,000 (commensurate with related experience).

Primary Responsibilities:

AEI Accreditation

Maintains knowledge of current AEI accreditation standards.

Explore new opportunities for grant funding to support current programs and potential program growth.

Supports the Assistant Director and Senior Manager in the collection, analysis, and dissemination of data collected through applications, annual reports, and other program activities.

Create Accreditation Certificates and assemble decision packets for AEIs after Accreditation Review Committee (ARC) meetings.

Assist the Senior Manager in managing the invoicing process, along with following up on past due accreditation fees.

Administer and create electronic surveys for the collection of data and information from AEIs, Committees, and volunteers of the program.

Collaborate with the e-Learning staff of the Division of Education in the creation of products and courses that are housed online using the ACS Learning Management System (LMS).

Stay abreast of research related to surgical simulation, incorporating this information into grant proposals, the Annual Surgical Simulation Summit program, and opportunities for members.

Develops relationships with external partners and vendors as needed.

AEI Member Recruitment and Retention Maintains a list of prospective programs to contact about applying for accreditation.

Develops and delivers presentations to prospective centers about the benefits of accreditation to achieve desired revenue and growth goals.

Develops and manages current member programs, benefits, and processes as needed to meet the changing needs of members.

Works collaboratively with Integrated Communications to develop a strategic communication plan for member retention and new member recruitment.

Collaborates with Integrated Communications to increase visibility and to develop a marketing kit for current members.

Oversees member database ensuring accuracy for communications.

AEI Member Engagement and Volunteerism Develops and manages new member engagement opportunities.

Responsible for volunteer management.

Engages members through the online AEI Community and a quarterly newsletter.

Serves as a staff liaison for committees providing strategic direction, scheduling meetings, maintaining notes, and keeping members on task.

Identify member recognition programs to increase satisfaction.

Annual ACS Surgical Simulation Summit Leads the designing, planning, and delivery of the Annual ACS Surgical Simulation Summit.

Manages the abstract submission site.

Serves as the liaison to the program committee to define educational objectives, develop content, select speakers, and design methods of evaluation and outcomes measurement.

Collaborates with the Assistant Director, Conventions and Meetings, and Accounting to develop and reconcile the meeting budget.

Develops detailed event-specific task and project work plans.

Works with the Assistant Director, Senior Manager, and the program committee to achieve desired goals, outcomes, and objectives.

Manages the accreditation process for CME.

Identifies potential exhibitors and works with Conventions and Meetings to promote the exhibitor program.

Establish relationships with industry partners.

Serves as point of contact for meeting participants and speakers.

Grants and Funding Opportunities: Work closely with the ACS Foundation to secure grants and funding opportunities to support the overall AEI Program and its mission.

Pursue unrestricted educational grants from medical device and simulation companies to support the Annual Surgical Simulation Summit.

Required Education and/or Experience: Bachelor's degree from an accredited college or university is required.

Minimum of 5+ years of progressive administrative experience in a similar or related role is strongly preferred; experience managing meetings and volunteers at a committee level is also strongly preferred.

Advanced skills in Microsoft Office applications are required. Database skills (mining data and generating reports) and experience with Survey Monkey is preferred.

Experience working with Learning Management Systems (LMS) is a plus.

Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization.

Ability to plan and prioritize workload and meet deadlines.

Ability to establish strong working relationships with volunteers and members.
