Job Title:Coord Medical Education

Department:Surgery Resident Act

Location:Hospital of the University of Pennsylvania- 3400 Spruce St

Hours: Full Time

Summary:

This position is responsible for oversight of the day-to-day operations of the Department of Surgery’s Undergraduate Medical Education activities (UME) and Continuing Medical Education activities. This includes, but is not limited to, coordination of the Surgery Clerkship, Surgical Sub-Internships, Visiting Students and student observers for the Department. The Undergraduate Medical Education (UME) Coordinator collaborates with the Perelman School of Medicine, Clerkship Directors, and Physician Site Coordinators to oversee the education and assessments of 100+ medical students annually. Update and maintain CANVAS and OASIS systems. This position is also responsible for, in collaboration with the UPENN Office of Continuing Medical Education (CME), the administration and oversight of (CME)/Professional Medical Education (PME) operations and activities of the Department of Surgery. It is expected that this position will understand the curricular goals, policies, and standards of both the Surgery Clerkship as well the CME/PME programs.

Responsibilities:

• Must have exceptional interpersonal skills and be able to deal with differing personalities on a daily basis as an administrative member of a medical organization. Must have ability to interact with all levels of the organization in a professional manner.

• Must have effective and professional communication skills, both verbal and written. Must have excellent grammatical, proofreading and writing skills X Must be detailed-oriented, and possess strong analytic and problem solving skills

• Must have personable attributes such as the ability to be calm, a good communicator and someone to build confidence in others.

• Must have proven organizational skills. Must be able to independently prioritize everyday administrative functions.

• Customer Interaction: must be able to maintain positive interactions with students, residents, fellows, visiting professors and associated medical professionals in a respectful and courteous manner. Must uphold the department’s goal of exceptional patient/customer satisfaction and use all resources to maintain positive experiences. Confidentiality is required at all times.

• Must demonstrate initiative in learning advanced features of programs to more effectively accomplish job duties.

• Flexibility in dealing with different personalities is required.

• Independently manages day-to-day activities and initiatives of program, including clinical rotations, didactic activities, in conjunction with program polices and regulations

• Update and maintain residency program data in MedHub, GME Track, ABA, RTID, FREIDA, NRMP, and ERAS; Provides reporting related to accreditation, education activities and program requirements

• Serves as primary administrative liaison with the GME office and other support offices to ensure continued program compliance; attends monthly GME coordinator conferences to remain current on policies and regulations.

• Develops and implements new processes and assesses current protocols

• Maintains advanced knowledge of ACGME requirements and regulations as well as Penn Medicine GME and OMA policies

• Facilitates equipment ordering, trainee reimbursement process, professionally related education expenditures and division related invoices.

• Coordinates functions relating to house staff on-boarding, licensing, orientation and trainings, rotations and compliance.

• Establishes program specific policies and procedures for candidate recruitment; facilitates residency interviews

• Coordinates Graduation and year end and alumni reporting for Residents and Fellows.

• Maintains proficiency in MedHub trainee management suite, ensures data is complete, accurate and up to date; generates various reports as requested.

• Coordinates divisional continuing medical education series

• Coordinates divisional undergraduate medical education including URiM visiting students

• Assists in the fiscal oversight of the education program operational budget.

• Performs duties in accordance with Penn Medicine and entity values, policies, and procedures

• Other duties as assigned to support the unit, department, entity, and health system organization

Education or Equivalent Experience:

Bachelor's Degree in Business Administration, Organization Development, or related field 3+ years Graduate Medication Education

Executive Level Administration. In lieu of completion of a Bachelor’s degree, candidates with 7+ years of total relevant experience will be considered
