Description
Looking for a skilled Construction Project Coordinator with past construction experience. This position will be responsible for assisting project managers with all administrative duties relating to the project regarding submittals, plans, daily reports, and RFI's as requested.
Assists in the preparation of non-financial documentation for company projects, i.e. – request for proposal responses, qualifications statements, various project management activities
Prepare and maintain subcontract agreements and puchase orders per PM direction
Assist with permitting and job start-up
Job close out including securing operation manuals and warranties
Responsible for company data management and record keeping systems, electronic and paper
Reviews payment application contents for completeness prior to approval by PM
Prepares reports, communications, meeting minutes
Utilizes construction management software and/or tracking systems to keep project information current and accessible to a variety of users
Assisting in Subcontract Bid Management and maintaining Subcontract / Vendor contacts list
Assist in Vendor selections to receive ITB
Preparing and issuing ITB’s to potential Bidders
Follow-up with Bidders to provide additional bidding information and to ensure adequate response on bid day
Preparing and distributing construction subcontracts and purchase orders
Managing subcontract Certificates of Insurance and related supporting documents
Reviewing subcontractor billings and coding all invoices
Managing subcontractor RFI inquiries and preparing responses in association with PM and/or design professionals
Collecting, recording, and maintaining Subcontractor / Vendor submittals for approval, including return of same to Supplier following review as appropriate
Preparing and filing permit applications
Managing and updating Department Policies and Procedures manuals
Provide office assistance and support, as needed
Represents company via regular interaction with visitors, tenants, consultants, contractors, professional service providers, business partners, and public employees and officials
Deals with confidential and proprietary information on a regular basis and must be able to exercise discretion and maintain confidentiality
Book travel arrangements
Other duties as assigned
Requirements
Bachelor degree preferred but not necessary
Minimum 3 years of experience in Construction administrative support or project management
Experience using technology to remotely monitor construction progress
Proven ability to manage multiple projects / activities in a dynamic, fast-paced environment
Professional and courteous demeanor with commitment to excellence in customer service
Familiarity with construction procedures, processes, and communications
Familiarity with basic construction accounting/financial terminology, such as cost coding, debit, credit, etc.
Ability to use discretion and maintain confidentiality with proprietary and other information
Strong organizational skills and high attention to detail
Proactive team player with strong work ethic
Excellent verbal and written communication skills
Excellent time management skills and the ability to prioritize work, multi-task, and to work under time constraints
Experience with Microsoft Office (Outlook, Word, Excel, Project, and PowerPoint)
Knowledge of RedTeam or ProCore construction management software preferred, but not require
Must be Legally eligible to work in the US
