Role As the CoS, you will need to be highly organized, detail-oriented, and able to manage multiple projects and priorities simultaneously. You should also have excellent communication and interpersonal skills, as well as the ability to work effectively with people at all levels of the organization.
Responsibilities Strategic Planning & Execution Collaborate with the leadership to develop and implement the studio’s strategic plan
Conduct market research and analysis to support decision-making
Monitor progress towards goals and report on key performance indicators
Operations Management Oversee day-to-day operations of the company
Maintain ownership for the company tracker, assigning tasks to the relevant individual, and ensuring they get completed on time and to studio standards
Identify and implement process improvements
Communications Serve as a primary point of contact for internal communications.
Draft and edit internal and external communications, including emails, presentations, and reports
Ad-hoc & project Take lead in ad-hoc projects. For example we want to launch a new marketing campaign to attract entrepreneurs by running a small free cohort for 4 weeks. You would have to figure out all the required steps and execute on them.
If this is a recurring task, then you would focus on finding the missing skillsets within the team which required you to jump into execution for those roles and then work towards hiring those roles.
In the early days of a new project, be involved in the idea → team phase to quickly identify what would be required to make a project successful and assembling the right team members to make it successful.
Taking care of ops related tasks as they occur. You would be the first person these tasks/problems flow to and you would take the call on executing it yourself, delegating it to someone, or ignoring them.
What we are looking for
A lot of “independent decision making”. We will mentor you to help you get acclimated to what’s new for you, but our goal is for you to be independently making decisions and owning up to the outcome.
Understanding vague ideas and vision and funneling that into concrete actionable steps to be executed for the business and then taking ownership of execution on those.
Serve as a practical sounding board for ideas we want to execute (product, marketing, sales, etc.) and based on our resource allocation plan out what can be executed right now & what needs to be planned out for future.
Really good at delegation (see more of this in the next section).
Able to think and execute at both the 30,000 ft & 3 ft level.
As Chief of Staff, your aim is to multiply the effectiveness of Twelvefold’s leadership.
This involves the confidence to do the most important strategic work of the organization (ex. operating the venture studio).
This also involves the humility to do the scrappy work that pushes our goals forward (ex. ensuring the Costco run for our AI Meetups happens).
Experience working at a technology startup (in any role), so you’ve had exposure to the lifecycle of a startup and are familiar with the challenges that they face.
What we aren’t looking for
Running every product—that ownership should reside with the relevant product owner. In the first few weeks you may have to step into that role, but the goal is to have the right individual focused on executing that project and be responsible for its outcome. Your role would be to ensure that they are on track and being a resource to support them (or fire them).
This analogy will extend to other roles that occur in the team. Think about your role as enabler of the studio goals. Whether you execute them yourselves or work with the right individual in the team to execute is up to you, but in the beginning as the team starts to get formed you will likely have to do a lot of it yourself.
You need to be good at delegation since your plate will be full very quickly and without effectively delegating you will be unable to stay on top of everything. An example: your time would not be spent well doing administrative tasks like invoicing clients and ensuring payments are received. You should think through the flow, create a good process, and then leverage additional members on the team (eg. Valerie who is EA + Ops) to perform this on an ongoing basis.
A person stuck in the historical ways of doing things in a slow, boring, and repetitive manner. You should be thrilled and adept to adapt new unconventional ways of executing by leveraging automation and AI.
Some real examples of the work you would be involved in:
We got connected to SVP at late-stage Healthcare startup and have a meeting scheduled for them. They need to deliver quick wins using AI. For preparation of the meeting, we would expect the CoS to research their business and potential use cases, brainstorm with Ayush/Ripal, and prepare the materials to be presented to them.
Ayush+Ripal brainstormed and talked to a few potential customers to identify a program designed for early stage startups from a equity/consulting perspective. We would expect the CoS to take this and detail it out further and get the follow-on steps identified and executed (in this case that would be creating the presentations & updating the website messaging)
For junior roles, work with HR and lead of that position to complete hiring and their successful integration into their respective roles. For senior role, Ayush/Ripal to be involved but help out in integration post their hiring and work allocation. For example, Ayush did a 5th round interview this morning and gave a go ahead for hiring this person; HR will take it from here but stay atop this to align on joining dates and coordination in terms of what project they get allocated to and to ensure that we have a good plan of execution for them to pick up on as they join the team.
Ripal identified that the team is not fully aligned with our vision of leveraging no-code tools and AI tools to augment their workflows to be more efficient. We have suggested a few different tools, but a lot of team members haven’t adapted them. Your role here would be to identify why this goal is not getting accomplished and then taking the steps necessary to accomplish it (which in this case might be more mentoring by Ripal, providing clarity/structure to the team, or the lack of right team members which means they need to be let go then).
We want to onboard a freelancer PM to help out on one of the projects, but as part of a 2-week engagement we need to have a detailed plan of action that can be measured at the end of 2 weeks to determine if she would continue. Your role here would be to ensure that this occurs whether that’s by preparing out the plan for this role.
We need to build a Reseller program for System Integrators (SIs), who can take our products and services and resell it to their customers. CoS needs to create reseller program, define goals and setup a team to execute it.
We have been meeting lots of really impactful advisors (like CEOs of Fortune 500 companies, serial entrepreneurs, family office operators, highly influential folks, etc.) that we would like to engage to help us with expand our studio’s reach. We have a few ideas on what this advisor partnership program should look like. We would expect the CoS to get this engagement model designed.
