Role Overview
The Senior Payroll & Benefits Administrator is responsible for accurate and timely processing of the payroll to ensure employees are paid properly in accordance with state and federal payroll laws. This role is also responsible for the annual enrollment of employees in Kasasa's health benefit programs.
Responsibilities
* Infuse the Patch Values into your work ethic, every day and every interaction.
* Processes all regular cycle and off-cycle payroll runs including calculating and processing payroll gross to net; processing final employee paperwork; inputting and maintaining payroll garnishments; recording payroll data into the general ledger, including accruals, PTO adjustments, sales commissions, and performing applicable balance sheet reconciliations as needed.
* Data entry into the payroll system, ensuring accurate and proper processing of payroll. Audit of semi-monthly payroll reports prior to submission to ensure accuracy of data as well as identification of issues.
* Audits payroll inputs initiated by others for accuracy and consistency. Analyze payroll figures and implement process improvements.
* Updates and maintains payroll site to comply with company policy and procedures; provide payroll provider with all correspondence related to tax rate changes and state or federal notices.
* Trains HR team members as backup, as needed, for payroll processing.
* Provides financial audit support and ensures compliance with Company policy and Sarbanes-Oxley controls.
* Manages annual 401k audit.
* Fields and responds to payroll inquiries and resolves discrepancies, as required, in a timely, professional manner.
* Maintains payroll guidelines by writing and updating policies and procedures.
* Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
* Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
* Administers employee insurance programs including life, disability, and health insurance plans.
* Administers employee savings plans that may include the company's 401(k) plan, health (HSA) and flexible (FSA) spending accounts, and deferred compensation programs.
* Facilitates accurate and timely delivery of employer contributions and employee payroll deductions to carriers, plan administrators or other appropriate service providers.
* Completes records, reporting, and other documentation required by federal, state, and provider rules, regulations, and policies.
* Conducts employee surveys, census, and other research and demographic efforts required to collect accurate quotes from benefit providers.
* Registers the company for withholding taxes in additional states, as needed.
* Identifies opportunities to automate and streamline processes.
* Assists as needed to perform other related duties and special projects as required.
* Other duties as assigned.
Qualifications
* Bachelor's degree in Human Resources, Business, Finance, or related field.
* Experience managing payroll and administering compensation or benefits programs.
* 5 years of experience working in payroll/accounting/finance environment.
* Certified Payroll Professional or equivalent work experience required.
* Strong knowledge of Excel, as well as experience utilizing accounting software.
* Experience with Paycor payroll solution is a plus.
* Thorough knowledge of payroll taxes, Fair Labor Standards Act (FLSA) regulations, and other regulatory requirements.
* Thorough knowledge of COBRA, HIPAA, and ERISA requirements.
* Excellent teamwork skills and proven ability to work under tight deadlines.
* Ability to deal with confidential and sensitive information with tact and diplomacy.
* Excellent organizational and follow-up skills.
* Able to manage a wide variety of tasks and projects while maintaining timelines of delivery, quality of results, and maintaining a calm demeanor in high-pressure situations.
* Ability to work productively and effectively with a wide variety of people, internally and externally.
* Strong problem-solving skills, including the ability to understand and analyze a situation by identifying patterns or connections, and addressing key underlying issues.
* Ability to work in a fast-past, competing deadline-driven environment.
* Ensure procedures and processes are in place that leads to the delivery of quality results and continually reassess their effectiveness to achieve continuous improvement.
* Proficient verbal and written communication skills. Willingness to share and receive information and ideas from all levels of the organization in order to achieve the desired results.

* A wide degree of latitude and judgment is expected.
* Must be legally allowed to work in the U.S.

PHYSICAL REQUIREMENTS
* Sitting for extended periods of time; approximately 5-6 hours per day
* Simultaneous use of hand, wrist and fingers
* Daily operation of standard office equipment
* Frequent use of oral communication to perform work
* Lifts and moves up to 20 pounds occasionally
