AGES Services Company is seeking a Construction Project Coordinator who will work with our Senior Project Coordinator to ensure each project is completed accurately and timely, exceeding customer expectations. The successful candidate for this position is energetic, highly motivated, and detail-oriented; has exceptional organizational and computer skills; is well-versed in the MS Office Suite; works independently and as part of a team; has excellent written and verbal communication skills; works effectively under pressure; and can multitask on multiple aspects of a project or on multiple projects.
Essential Duties:
Coordinate administrative process for each project including invoices, waivers, project forms, spreadsheets, etc.
Billing
Change Orders
Following up on payments
Setup job accounts with suppliers
Timely and accurate ordering of materials for projects
Setup new subcontractors
Submit weekly invoices for subcontractors pay.
Approve vendor invoices in Procure desk.
Provide COIs as requested.
Work with superintendent to create a schedule for each project.
Update schedule weekly with field superintendents
Create daily checklists for superintendents based on schedule.
Check for compliance by superintendents daily.
Scheduling permits and inspections
Coordinate equipment rentals as needed.
Attend meetings and take meeting notes.
Provide senior coordinator with job status updates.
Support senior coordinator as required.
Keep purchase order log and ordering request log from field superintendents.
Manage follow-ups on any open requests.
Document policies and procedures
Other duties as assigned.
Qualifications:
Commitment to QUALITY and continuous improvement.
Familiar with reading and understanding mechanical plans.
Strong attention to detail.
Exceptional organizational skills
Advanced user of MS Office Suite with an emphasis on Excel
Ability to work in a fast-paced environment and well under pressure
English / Spanish bilingual a plus
Outstanding communication skills.
Familiar with construction billing software
Ability to work individually or collaboratively in a positive team environment.
Ability to meet deadlines including paperwork and reports as assigned.
Experience / Education:
Bachelor’s degree in a related field preferred, or equivalent combination of education and experience and at least one year of experience in comparable position.
