Pivot, an NRTC company, is a marketing and customer experience agency with a focus on collaborating with people who are doing meaningful work in the communities they serve. Pivot comes alongside these organizations to help them grow and thrive by assisting them in defining and living out their brands, telling their unique stories, and strengthening relationships with their customers. Pivot has four practice areas, including broadband marketing, broadband CX, broadband vendors, and nonprofits.
Job Summary
This position is primarily responsible for providing excellent project management support to multiple clients and projects. Project Coordinators are assigned to support client projects within specific business units at Pivot. Pivot’s clients include Broadband providers and the vendors that serve them as well as nonprofit clients (educational institutions, associations, and charitable organizations).
Responsibilities
Responsible for coordinating and monitoring projects from initiation through completion for the clients of multiple project leads
Manage client roadmaps, team utilization & capacity planning for clients and internal staff
Responsible for hands-on project coordination, overseeing and directing multiple projects at a time and ensuring that projects meet or exceed internal team and client expectations and stay within budget
Demonstratea thorough working knowledge of Pivot project management software tools, and supports PMs AEs, PCs and product teams with process and systems questions
Responsible for project managing special projects or small client projects independently
Providesupport for Account Executives (AEs), Project Managers (PMs) and/or others across Pivot business units
Workdirectly with clients to move a project forward as needed, provide an update or when delegated by project lead
Evaluateand recommends process improvement opportunities, to include process documentation, and training. Works to keep internal process documentation up to date and accurate
Responsible for creating project plans (based on milestones set by project lead), identifying and addressing projects risks, ensuring project team members meet their deliverables in the hours allotted
Work with internal teams to keep projects on track and ensure deadlines are met
Communicate with team leaders on upcoming capacity needs for staff, status updates and outstanding issues on delivery dates and other project warning signs
Evaluate changes in scope and schedule, assess impact on a project plan, and coordinate recommendations to the client and internal teams
Assist with initial project scope then monitor project budgets with resource tasks, and outside expenses
Assist with updating Weekly Status Report (or client meeting agendas) for projects PC is managing
Manage projects to established processes and make recommendations for process improvements and changes so that we continue to learn and improve operational efficiencies
Manage project quality by QA checking, testing, and ensure proper project specifications are met
Vendor coordination, quoting POs, accepting invoices and process for billing
Manage assigned projects from budget management, resource planning, workflow, team communication and client engagement
Actively recommendnew strategies and methods of organization, and efficiency to others
There are no supervisory responsibilities with this position, however Senior PCs are responsible for shadowing and coaching new PCs

Qualifications
Knowledge, Skills, and Abilities
Excellent communication and presentations skills for successful interaction with all levels of management, employees, clients, and the public
Excellent verbal and written communication skills
Proven ability to build strong relationships with clients
Expertise in Microsoft Office and Google Suite (Google Docs and Google Sheets)
Experience in Forecast or other PM/workflow software preferred
Solid project management skills: ability to coordinate, prioritize and handle multiple projects simultaneously
Goal-oriented, collaborator with excellent organizational skills
Detail-oriented, paying special attention to proofreading all material
Ability to multi-task, delegate and meet tight deadlines
Ability to coach and mentor process and best practices
Ability to identify, recommend and implement process improvements
Minimum Education and Experience
B.S. Marketing, Advertising, Communication, Business, or equivalent experience
3 plus years’ experience in marketing or project management preferred
Experience as a project coordinator/producer for a creative agency is a plus
Physical Demands
Work is typically performed in a remote office setting
Occasionally travel may be required (up to 10%)
