Role Overview

This position is designed for an organized, detail-oriented and mindful young professional who is graduating soon or has recently graduated from Brandeis University (undergraduate or graduate school).

The early career professional in this role will have an in-depth and unique window into Hillel and nonprofits. They will have meaningful opportunities to learn how a nonprofit embedded on a university campus achieves its mission day-to-day while pursuing an ambitious strategic plan.

The Office Administrator will interact frequently and substantively with senior professionals, board members, student leaders, and decision-makers. During this one-year, highly selective fellowship, they will provide support and partnership to the Executive Director and the Assistant Director. They’ll strategize, facilitate, and support various projects associated with long-term strategy and planning, as well as with the everyday activities of senior professional leadership.

What You’ll Do

Assist with monitoring and responding to inbound communications on behalf of the Executive Director and the organization.

You’ll often be the first connection point for emails, phone calls, social media messages, in-person visits from prospective students and alumni, and student interactions. You are expected to provide a friendly greeting and support.

Support and execute a variety of events and activities: from fundraising with the Executive Director to student community building through partnerships with campus operations and caterers.

You will sit on the Student Engagement Team assisting with the tracking and uploading of all weekly staff–student engagements.

You’ll learn about and help to manage financial systems and purchasing, to give you a full and deep understanding of every aspect of our organization and our mission.

Track registration for Shabbat and high holiday meals and events.

Help to manage the various Hillel programmatic, logistical, and staff shared Google Calendars.

Serve as a thought partner to the Executive Director and Assistant Director (on matters concerning student community) as they plan events and initiatives, and outline relevant strategic goals.

Participate in routine staff and planning meetings with the Executive and Assistant Director.

You’ll provide administrative support as needed to the Executive Director. This may include assistance with expense reports, booking travel, ordering food, booking rooms, organizing meetings, and inputting data into our database.

You may have the opportunity to oversee a small group of student interns in the areas of communications and development.

Other duties as assigned.

Qualifications

This position is for a Brandeis undergraduate or graduate student who has received their degree in recent months.

Must have excellent and demonstrated communication skills, both in person, and especially in writing and over email.

Must be able to work effectively with Hillel professionals, faculty, and in some cases, high-level administrators at the university.

Must have demonstrated research skills and the ability to think strategically and handle several fast-paced, high-level projects simultaneously.

Prior experience with the Google Suite (Docs, Sheets, Calendar, Slides, etc.) and Canva are a plus.
