Job Summary:
Effectively supervises and coordinates accounts receivable activities, ensuring an accurate accounts receivable system, including reviewing, and analyzing AR and Job Cost data to maximize accuracy and profitability. L ocation can either be in our Sacramento or Concord offices (hybrid schedule, 3 days in office and 2 days working from home)
Duties/Responsibilities:
Ensure that all AR team tasks are executed and completed timely and accurately.
Regular frequent meetings with staff – EDMs (minimum biweekly).
Work with AR Team to execute department assigned goals.
Work with Director to complete staff reviews, coaching and development of AR team.
Approve staff timecards (direct reports) and review time off requests for Director approval.
Supervise daily tasks of the AR team to ensure successful completion.
Under the guidance and direction of the Director, provide training to new team members and existing employees. Report training progress to Director.
Responsible for timely and accurate invoicing to all customers
Ensure AR invoices are being posted and sent to customers within 3-5 days of receive date (providing backup support to Specialists when necessary).
Review billings for quality control in order to minimize rejections.
Participate in regular billing meetings.
Responsible for timely collection activities and reporting data to Director
Work with team to proactively follow up with customer on all unapproved status invoices, or invoices coming due for timely collection.
Submit status reports to Director at least weekly.
Support Specialists, as needed, to provide data requests to Operations teams.
Research, as requested by Director, pertaining to billings, collections, and identifying when Pay When Pay (PWP) terms vendors are eligible for payment.
Compile month end reporting for AR, including aging and reports.
Document and maintain billing requirements for each customer/line of business for AR billing team to reference/follow.
Meet with customer/program billing teams regularly to ensure consistent reconciliation of outstanding billing issues or changes to requirements. Report any updates or unresolved issues to Director.
Responsible for meeting all deliverables of AR staff within allotted deadlines.

Required Skills/Abilities:
3-5 years of MS Suite (advanced)
Strong collaboration and external/internal customer service

Education and Experience:
5 years of supervisory experience
Degree preferred or relevant experience
Construction accounting background a plus
Vista by Viewpoint and Power BI experience a plus
Physical/mental requirements:
Must be able to lift up to 10lbs
Work at a desk and on computer approximately 6-8 hours per day
Perform with frequent interruptions and/or distractions
Perform effectively under conditions of fluctuating workload
Uses telephone and email to communicate with vendors, customers, and co-workers, approximately
Salary - $70,000 - $93,000K (DOE and location)
*Compensation salary exempt, DOE, + bonus potential, + 100% paid full benefits for you and your family, generous paid time off, and an employer funded retirement plan. You must successfully pass a background and drug test prior to start date.
