Bachelor Degree required: HIGHLY Preferred

At least 5 years experience in Transactions & Disputes required

The Legal Secretary provides support to attorneys and paralegals resulting in a high level of client service; document processing and editing; editing complicated financial transaction documents; managing travel arrangements; processing of new business intake; preparing and submitting attorney expenses; inputting attorney time entries; handling heavy client billing; responding to client inquiries via phone and email; arranging meetings and conferences for internal groups and related to business development activities; coordinating calendars; monitoring incoming mail and e-mails; maintaining and updating client files and other tasks.

As a Legal Secretary, your duties will include but not be limited to:

Prepares, edits, and proofreads a variety of documents, e.g. correspondence, agreements, pleadings, spreadsheets and presentations.Manages and assists with complex document production.May require use of transcription/dictation equipment.

Works independently and takes ownership of projects at the direction of timekeepers.

Delegates/inputs time entry, tracks WIP and A/R, reviews and edits pre-bills for submission to accounting.

Exercises judgment and delegates administrative tasks (locally and remotely) as needed to the appropriate firm resources, e.g., Business Center, VPC, FAST, Billing Team Specialists, other Legal Practice Specialists and/or Legal Team Specialists/Legal Team Assistants.When delegating, maintains responsibility for and tracks all activities/tasks/projects to successful completion.

Maintains calendars to include coordination and scheduling meetings, depositions, conference calls and WebEx, sends calendar invites and reminders, reserves conference rooms/off-site venues and visitor offices, tracks deadlines and status of cases/matters, and updates Docketing Department on court deadlines.

Coordinates travel arrangements with firm-designated travel agencies.

Works with Records and Accounting on New Business intake to request new files, client/matter numbers, and assist with the conflicts process.Works with teams to consolidate and organize files at the close of the matter.

Answers telephones taking detailed messages.At request of timekeepers, provides follow up and interacts with clients, outside counsel and others.

Maintains and updates contact lists, creates labels from lists and coordinates mailings as directed by timekeepers.

Retrieves information from various online resources and databases.

Receives, sorts and distributes daily incoming mail and packages (e.g., UPS, Federal Express, hand deliveries) on behalf of timekeepers.

Assists with administrative tasks related to timekeeper compliance requirements and professional organizations.

Maintains confidential information in a professional and trustworthy manner.

Other duties as assigned.

Skills & Competencies:

At least 5 years experience in Transactions & Disputes

C-Suite experience is a must

Administrative and clerical experience

Must have intermediate to advanced technical skills in Microsoft Office

Experience with clients and how to anticipate needs

Must be able to handle calendars, conferences, and lots of scheduling

Strong organizational, delegation, and communication skills are required to accommodate a fast-paced environment

Excellent attention to detail

Qualifications & Required Experience:

Education:

High School or GED

Bachelors Degree strongly preferred

Experience/Skills:

At least 5 years experience in Transactions & Disputes
