Job Description Job Description An international insurance defense firm located in lower Manhattan seeks an experienced Legal Secretary on a temporary basis. The schedule is hybrid (3-4 days in the office/1-2 days remote or 5 days in the office). The hourly rate is $25 - $35 an hour depending on experience.
Primary Duties
The Legal Secretary will handle file/data management, case lists, calendars, e-filings, motion practice, exhibits, discovery, and budgets. Other responsibilities include:
Secretarial and administrative assistance
Dictation
Drafting and redlining legal documents, including discovery pleadings
Managing heavy email volume
E-filing of federal and state motions
Client reception and answering phone
Maintaining calendars and appointments
Sorting mail and packages and distribute to appropriate staff
Managing legal files and records: organizing, copying, filing, scanning, faxing, filing
Office inventory and supplies management
Preparing and coordinate legal correspondence and reports
Other administrative duties as needed
Requirements
5 – 8 years of legal secretarial/administrative support experience at a law firm or the legal department of a corporation
Excellent typing skills: fast and accurate
Prior knowledge and exposure to litigation procedures and processes
Prior insurance subrogation experience is a huge plus
Prior experience in E-filing of federal and state motions (NY courts experience, NJ a plus)
Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint)
Proficiency with legal programs billing programs, i.e. iManage
Excellent oral and written communication skills
Strong time-management skills
Attention to detail and exceptional organizational skills
Courteous and professional demeanor
Ability to prioritize and meet deadlines
Solid client service skills
