CONTEXT OF THE JOB:

The Graduate College is a complex unit engaging with multiple constituencies, including the graduate students, postdoctoral researchers, the Graduate College Council, the Faculty Senate, the Graduate Student Government, the deans’ offices of the other eight disciplinary colleges, the program directors of more than 200 graduate programs, alumni, and industry representatives. The Graduate College team provides services and support for over 4,400 graduate students and 270 postdoctoral researchers. These numbers have been growing and will continue to do so through our comprehensive marketing, recruitment, and retention operations. The Graduate College is home to a collection of interdisciplinary doctoral, master’s and certificate programs that are wholly managed within the college. The Graduate College is also home to the Division of Professional and Continuing Studies (UD PCS), which serves the needs of credit and noncredit students as well as Osher Lifelong Learning Institute members and other special initiatives. Finally, the Graduate College is responsible for managing a variety of fellowships and funding initiatives to foster graduate innovation and transdisciplinary research on campus.

Under the limited supervision of the Director of Graduate Admissions and Enrollment in the Graduate College, the Manager of Graduate Services Operations serves the departments and programs in the development and maintenance of their graduate programs. The Manager provides coordination of special services for graduate students and daily operations related to the management of graduate student records. This position is responsible for maintaining and updating the graduate application software system, Slate, and for providing training and troubleshooting services to admission staff members within the Graduate College and across the university. The Slate user base includes approximately 1000 users.

MAJOR RESPONSIBILITIES:

Manage the graduate application and enrollment system and optimize its use for the enhancement of graduate and professional education. Key to the successful use of a centralized system in a distributed environment is to understand the admission requirements, deadlines, and general key concerns of each graduate program and to use this knowledge to offer proactive and effective guidance to departmental faculty and staff.

Articulate the needs and procedures for capturing graduate student records in the admissions system, currently based in Slate by Technolutions.

Provide guidance on best practices for implementing application updates or requests from various University stakeholders.

Maintain collaborative partnerships with other University division's Slate user groups on system updates, maintenance schedules, project-sharing, and overall best practices.

Train office and departmental staff in Slate use aligned with the Graduate College’s mission and vision.

Serve as the system administrator for the graduate recruitment and admissions systems for technical performance and reconciliation of data related to applications for loading into and pulling from the campus student information system, currently based in PeopleSoft SA.

Continually review, develop, and implement additional uses of these systems for the benefit of graduate programs as appropriate.

Assist Director of Admissions and Enrollment and other Graduate College staff with Slate system-related issues.

Provide guidance on best practices for implementing application updates or requests from various University stakeholders.

Produce various reports as requested by the Graduate College staff.

Assist with the preparation of external reports for major graduate program surveys.

Implement a process of continuous improvement of our admissions and enrollment system by staying abreast of recent updates and enhancements, and evaluating our current practices and uses.

Develop and document a procedure for handling data uploads of records into the Slate CRM.

Engage with system users and other stakeholders to identify opportunities to use the system for purposes beyond admission, especially related to current student and alumni engagement.

Provide recommendations to the Director of Graduate Admissions and Enrollment regarding policies and procedures on the best use of our admissions and enrollment systems in alignment with the Graduate College’s mission and vision.

Integrate Slate into UD PCS processes where it is advantageous to do so.

Liaison with the University's Information Technology Systems division on projects pertaining to multi-system application platforms for data-mapping and integration.

Integrate student forms and other digital artifacts of student experiences into Slate either directly or through system integration. Digital artifacts may include recruitment and retention events, training events, orientations, and academic materials.

Perform other job-related tasks as assigned.

QUALIFICATIONS:

Bachelor’s degree four years of experience in information system management in higher education or equivalent combination of education and experience. Master’s degree preferred.

Experience with Slate or similar admissions and enrollment systems preferred.

Proven success managing projects involving complex systems and coordination of internal and external resources.

Leadership ability and strong oral and written communication skills.

Demonstrated ability to deploy, manage and integrate data systems.

Ability to develop systems to meet department’s requirements.

Experience using PeopleSoft.

Proficient with Microsoft Office applications.

Familiarity with graduate education, practices and policies at UD or elsewhere is desirable.

High level of organizational and planning skills and ability to think strategically and manage multiple priorities with competing deadlines.

Ability to communicate and interact well with people of all ages and diverse backgrounds.

Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.
