Operations Coordinator

Overview:
This role will work closely with the Operations Manager and Event Planner on various virtual, in-person, and hybrid events for both internal and external audiences. They will also work directly with the CEO and Executive Leadership on scheduling, travel, and administrative support. The ideal candidate is a proactive planner, detail-oriented, and able to work with diverse colleagues and business partners at multiple levels within the organization. This individual is resourceful and can proactively balance their time and priorities.
Responsibilities:
Specific areas of responsibility include, but are not limited to:
CEO Support
Assist in calendar updates and meeting scheduling
Coordinating and booking travel
Preparing and organizing expense reimbursements
Assist with meetings and communication with the Board and its partners
Operations Support
YPTC Calendar and Scheduling Assist in coordinating and scheduling staff meetings, annual events, conferences, recruiting events, leadership meetings, office hours, etc.
Facilities at the Philadelphia office Organize office and kitchen supplies and notify when stock is low
Meeting room scheduling and in-office coordination
Internal Communications Assist the Operations Managers with the internal newsletters, Emergency Alert System, Office365 applications, and other internal communications messaging and software.
Event Management Support
New Hire Orientation Coordination with the Training Department for in-person orientation logistics Assist in sourcing and securing catering and reservations for in-person orientation
Accepting on-site catering and deliveries, as needed
Help in set up and breakdown of catering, as needed
Staff Meetings and Events Sourcing and event support for the Event Planner for in-person events including in-person staff meetings, external recruiting events, and the Annual Awards meeting
On-site event coordination for in-person meetings
Help with preparation for national and local virtual staff meetings
Other event and meeting-related projects as needed
Other Projects as necessary
Qualifications:
Background
College degree from an accredited college/university
3+ years of related work experience
Skills and Competencies
Excellent verbal and written communication skills
Strong attention to detail
Highly skilled in Microsoft programs
Demonstrated self-starter and team player
Ability to anticipate problems and offer solutions
Excellent time management and adherence to deadlines
Venue contract negotiation skills
Excellent relationship management and judgment skills
A demonstrated ability to coordinate efforts between departments and work collaboratively with all members of YPTC
A commitment to ongoing continuing professional development
A comittment to on-site work in the Philadelphia office up to 3 days per week
A willingness to travel up to 20% and work onsite at the Philadelphia office as needed
Ability to lift 20-25 pounds when necessary

Starting annual base salary is $47,000 to $52,000 for this exempt position. Total compensation may increase with eligibility for various bonuses. A professional development reimbursement and technology stipend are also provided on an annual basis. Please note that the base salary offered may vary depending on relevant factors as determined by Your Part-Time Controller, LLC, which may include, but is not limited to, education, skill, experience, licensure and certifications, internal salary ranges, geographical location, and other business needs.
